1. Who is responsible

2. Visiting this website
The website is hosted by Vercel Inc. (USA). To deliver the pages and protect them against abuse, Vercel processes technical data such as your IP address, the time of access, the requested page and your browser type in server logs, which are kept only for a short period. Legal basis: our legitimate interest in a secure, working website (Art. 6(1)(f) GDPR).
We do not use analytics, tracking or advertising tools. Fonts are served from our own server, so no data is sent to Google when you load the site.
3. Member accounts on the study platform
When you create an account, we process:
- your name, email address and password (stored only as an encrypted hash),
- your role in the club and, where assigned, your department,
- your activity on the platform: favourite documents, study progress, event RSVPs and, as recorded by the board, event attendance.
We use this data to provide the study platform and to organise club membership and events. Legal basis: your membership and use of the platform (Art. 6(1)(b) GDPR).
New accounts are reviewed and approved by the board before they get access. Your name and email address are visible only to the board (administrators and department leads), who also see RSVPs and attendance — not to other members.
Accounts, documents and files are stored with Supabase Inc. (database, login and file storage; servers in Ireland (EU)).
4. Emails
We use your email address to send you account emails (such as password reset links, sent via Google Gmail) and information related to your club membership. Legal basis: your membership (Art. 6(1)(b) GDPR) and our legitimate interest in keeping members informed (Art. 6(1)(f) GDPR). You can ask us at any time to stop sending you club information.
5. Cookies and local storage
We only use what is technically necessary: a login cookie that keeps you signed in to the study platform, and your light/dark display preference saved in your browser. No consent is required for these (§ 165(3) TKG 2021). There are no tracking or advertising cookies.
6. WhatsApp and LinkedIn
The website links to our LinkedIn page and to WhatsApp groups. No data is passed to these services until you follow such a link; after that, the provider's own privacy policy applies.
7. Transfers outside the EU
Vercel and Supabase are US companies. Where data is transferred to the USA, this happens on the basis of the EU-U.S. Data Privacy Framework and/or the EU standard contractual clauses.
8. How long we keep data
Account data is kept as long as your account exists. When your membership ends, or when you ask us to, we delete your account and the data linked to it, unless the law requires us to keep it longer.
9. Your rights
You have the right to access, correct and delete your data, to restrict or object to its processing, and to data portability. To exercise them, or to delete your account, email ficaau.help@gmail.com.
